Privacy Policy

SwiftCue ("SwiftCue", "we", "us") provides AI sales training and coaching over WhatsApp, live calls and a web dashboard. This Privacy Policy explains what personal information we handle, how we use it, who we share it with, how long we keep it, and your rights. It applies to our websites, dashboard and services (the "Service").

Our role

  • For the accounts of managers and administrators, website visitors and leads, SwiftCue is the controller of that personal information.
  • For information about a customer's sales staff (or job candidates) that is processed to deliver assessments and coaching, the customer is the controller and SwiftCue acts as a processor on the customer's instructions. Customers are responsible for having a lawful basis and the necessary consents for that processing.

Information we collect

  • Account information: name, email address, hashed password, and role for managers and administrators.
  • Sales rep information: name, WhatsApp number, and optional email, added by the customer.
  • Assessment content: the transcripts, scores and coaching notes from practice roleplays, and audio recordings of those voice notes and live calls, retained so managers can review and coach.
  • Usage data: logs, device/connection data, and analytics about how the Service is used.
  • Website leads: name, work email, company, role and team size submitted through our "request access" forms.

How we use information

We use personal information to: deliver and operate the Service (run simulations, transcribe, grade and coach); provide the manager dashboard and analytics; communicate with you (including account, security and, where permitted, marketing messages); provide support; ensure security and prevent abuse; meter usage and billing; and comply with legal obligations. We do not sell personal information.

Consent and recordings

Sales reps consent over WhatsApp before any assessment runs, and practice conversations may be recorded so their manager can review and coach them. Customers must ensure staff (and candidates, where the Service is used for vetting) are informed and have consented as required by applicable law. Automated scores are decision aids and should not be the sole basis for employment decisions — a human should review.

Each provider is bound to process data only as needed to provide their service.

International transfers

Our application and database are hosted in Johannesburg, South Africa. Some sub-processors (e.g. Anthropic, Deepgram, Twilio) process data outside South Africa, including in the United States. Where we transfer personal information across borders, we take steps to ensure an appropriate level of protection consistent with applicable data-protection laws.

How long we keep data

We keep account and assessment data for as long as your organisation uses the Service, and as needed for legitimate business and legal purposes. Audio recordings are retained so managers can review them, and can be deleted on request or when an assessment is voided. On termination, we will delete or return Customer Data as agreed and in line with applicable law.

Security

We protect personal information with encryption in transit (HTTPS/TLS), hashed passwords, role-based access controls, tenant isolation, signed webhooks, and restricted access to production systems. No system is perfectly secure, but we work to protect your data and to notify affected parties of material incidents as required by law.

Your rights

Subject to applicable data-protection laws, you (or, for staff data, the customer as controller) may request access to, correction of, or deletion of personal information, and may object to or restrict certain processing. To exercise a right, contact us at privacy@swiftcue.io. Where SwiftCue is a processor, we will refer staff requests to the relevant customer.

Cookies

Our dashboard uses essential cookies/local storage to keep you signed in and remember basic preferences. The marketing site uses minimal storage (for example, to remember if you've used a demo). We do not use invasive cross-site advertising trackers.

Children

The Service is for business use and is not directed at children. We do not knowingly collect personal information from children.

Changes

We may update this Policy from time to time. Material changes will be notified through the Service or by email and take effect when posted with an updated date.
